3 What is personal data?

4 Purposes of Use and Legal Basis of Processing

4.1 Access and use of our website

Your personal data is collected when you access and use our website with an internet browser on the terminal equipment you use for technical provision and to ensure the functionality and security of our website. For example, a computer or smartphone with an Internet browser can be used as a terminal equipment.

For this purpose,  the date and time of access  is collected and stored.

This data processing is based on our legitimate interest in accordance with Art. 6 (1) (f) GDPR to provide you with the functions and content of our website so that you can access and use it with your device, as well as to protect our website against potential risks (e.g. hacker attacks) by taking appropriate measures.

In addition, when you access and use our website, we use so-called cookies, which are stored in your device. Cookies can be used to store, enrich and manage information on users’ devices that allow identification or assignment to a natural person when using unique identifiers (so-called UIDs). 4.4 Registration for the 25th International Congress of Byzantine Studies

Personal data will be processed for the registration for the 25th International Congress of Byzantine Studies. This data is required for confirming your registration, sending you relevant information about the congress and coordinating your participation.

4.6 Activities             

Some of the activities we offer require registration (see the respective category). In these cases, registration is done via the account you used to register for the congress. Your name and e-mail address will be passed on to the organizers of the various activities. The data will not be stored on the congress website, but in the registration tool of the University of Vienna.

5 Disclosure of your personal data

We pass on your personal data to recipients if you have consented to this disclosure or if we are entitled or obliged to disclose it on the basis of legal provisions or official or court orders.

6 Transfer to third countries

If a transfer is made to a third country, it is based on an adequacy decision of the EU Commission or on the basis of suitable safeguards, such as standard data protection clauses concluded between the University of Vienna and the processor, which are available from the data protection officers.

7 Duration of data storage

7.1 General

As a matter of principle, we only store your personal data for as long as the respective purpose of use requires it. If you have consented to a purpose of use and withdraw your consent with effect for the future, your personal data affected by your withdraw will be deleted.

7.2 Storage period after accessing and using our website

The personal data that we collect together when you access and use our website will be stored by us for a period of one year from your first visit and then deleted after we have ensured that no technical errors or security risks have occurred, e.g. after any error logs of the website have been read.

7.3 Storage period of cookies

Technically necessary cookies are stored by us as so-called session cookies. Session cookies are characterised by the fact that they are only processed for the period of use of our website and are deleted afterwards, e.g. when you have closed your internet browser.

7.4 Storage period after contact

If you have contacted us by e-mail, we will store your personal data on the basis of our legitimate interest for the period of processing until the conclusion of your request.

If the reason for your contact serves pre-contractual measures or the initiation, fulfilment, processing and termination of contractual relationships, we will store your personal data for as long as this is necessary for the fulfilment of these purposes.

In certain circumstances, your correspondence with us may be subject to statutory retention periods.

7.5 Registration for the 25th International Congress of Byzantine Studies

Your registration data for the Congress will be stored for the duration of the Congress and for 30 days after its end, unless there are other statutory periods for longer storage.

7.6 Activities

Your data will be stored for as long as the respective activity continues or until you withdraw your consent, if necessary, unless there are statutory retention obligations.

8 Your rights as a data subject

The GDPR gives you the following rights as a data subject to the processing of personal data:

  • In accordance with Article 15 of the GDPR, you can request information about your personal data processed by us. In particular, you can request information about the purposes of processing, the categories of personal data, the categories of recipients to whom your data has been or will be disclosed, the planned storage period, the existence of a right to rectification, deletion, restriction of processing or objection, the existence of a right to lodge a complaint, the origin of your data, if it has not been collected by us, via a transfer to third countries or to international organisations, as well as the existence of automated decision-making, including profiling, and, where appropriate, meaningful information on its details.
  • In accordance with Article 16 of the GDPR, you can immediately request the correction of incorrect personal data or the completion of your personal data stored by us. As a student, you are obliged to notify any university at which you are admitted to study immediately of any changes of name and address in accordance with Section 59 (2) of the Universities Act. You can comply with this obligation  by sending an email to .
  • In accordance with Article 17 of the GDPR, you can request the deletion of your personal data stored by us, provided that the processing is not necessary for the exercise of the right to freedom of expression and information, for compliance with a legal obligation, for reasons of public interest or for the assertion, exercise or defence of legal claims.
  • In accordance with Article 18 of the GDPR, you can request the restriction of the processing of your personal data if the accuracy of the data is disputed by you, the processing is unlawful, we no longer need the data and you reject its deletion because you need it to assert, exercise or defend legal claims. You are also entitled to the right under Article 18 of the GDPR if you have objected to the processing in accordance with Article 21 of the GDPR.
  • In accordance with Article 20 of the GDPR, you can request to receive your personal data that you have provided to us in a structured, commonly used and machine-readable format or you can request that it be transmitted to another controller.
  • In accordance with Article 7 (3) GDPR, you can withdraw your consent to us at any time. As a result, we may no longer continue the data processing based on this consent for the future.
  • In accordance with Article 77 of the GDPR, you have the right to complain to a supervisory authority. 9 Profiling

Profiling refers to any form of automated processing of personal data combined with the evaluation of personal aspects relating to a natural person. When we process your personal data, there is no automated decision on a case-by-case basis, including profiling.

10 Right to object

We inform you that, as a data subject, you have the right to object, on grounds relating to your particular situation, at any time to the processing of your personal data carried out on the basis of our legitimate interest; this also applies to profiling based on these provisions. In the event of your objection, we will no longer process your personal data unless we demonstrate compelling legitimate grounds for the processing that outweigh your interests, rights and freedoms, or the processing serves to assert, exercise or defend legal claims.

We also inform you that you can object to the processing of your personal data for the purpose of direct marketing at any time; this also applies to profiling, insofar as it is related to such direct advertising. In the event of your objection, we will restrict the processing of your personal data and block it for direct marketing purposes.
